ENROLLMENT

Registration will be on a first come first served basis. However, since online registration is processed instantly through the PTSA website, please be aware that paper registrations will have an inherent delay due to the fact they have to be sent to school, processed and confirmed individually by a PTSA member.

If a class receives more enrollments than there is space available, a waitlist will be established. Waitlists are filled on a first-come first-served basis. Open enrollment will end about two weeks after it begins or when maximum enrollment is reached whichever is sooner. Students may only be enrolled in classes by their parent or guardian. New enrollments are not accepted after open enrollment has ended. Official confirmations will be sent. Payment for classes can be made online or by check payable to 'Einstein PTSA'.

The Einstein PTSA-sponsored programs will accept non-Einstein Elementary students who may participate on a space-available basis. In the event of over-enrollment, students enrolled at Einstein Elementary will be given first priority for slots, followed by non-Einstein Elementary students. Non-Einstein Elementary students are subject to the same requirements and fees as those students who attend Einstein Elementary. Parents of Non-Einstein Elementary students are subject to the same Parent Chaperone requirements as those parents of those students who attend Einstein Elementary.

SCHOLARSHIPS / LOW INCOME DISCOUNTS

The PTSA has a limited number of financial need-based scholarships available! One scholarship, per child, per year is allowed. There is no limit for low income discounts. For more information, please contact studentactivities@einsteinptsa.org. Scholarship and low income requests will be handled by paper form registration and will take time to process. PTSA will do its best to process scholarship requests as soon as possible, but due to the inherent delay in processing forms, there may be instances where an activity becomes full while processing. We ask that scholarship and low income discounts be requested as soon as possible.

PARENT CHAPERONE REQUIREMENT

The family of each child participating in an activity will be responsible for chaperoning for at least one class per session. This is very important. We will not be able to run the class if a chaperone is not available.

  • The chaperone does not have to be the child’s parent, but must be an adult (over 18 years of age).
  • The chaperone has to be a member of the Einstein PTSA.
  • The chaperone must be approved by the district’s LWSD background check/volunteer application process, including vaccination verification with the district. To ensure the safety of our students and staff, ALL individuals MUST go through the district’s volunteer application process and be approved before beginning a chaperon assignment. It takes just a few minutes to provide the information needed. You can pick up an application in the office or apply here: https://www.lwsd.org/get-involved/volunteering-in-lwsd. By submitting the LWSD application you agree to abide by the volunteer guidelines set forth by LWSD. 

PARENT CHAPERONE EXPECTATIONS

  • Parent Chaperones are accountable for their scheduled day/days to chaperone. It is their responsibility to find a district approved volunteer, who is a PTSA member, to cover for you if you cannot make your scheduled day(s). If a chaperone is not present, the class will have to be cancelled.
  • For the classes held inside school building, Parent Chaperones must remain in the class until end time and after class is over take all kids to the office from where students will be released to their parents or escorted back to the YMCA for aftercare.
  • For the classes held in Portable, Parent Chaperones must remain in the class until end time and after class is over release students to their parents or escort back to YMCA for aftercare.
  • Siblings are allowed provided that they do not disrupt the class. You may bring a book, a laptop or no-noise toys to entertain them.
  • Please do not use any school/classroom property. This includes netbooks, physical books, stationary, toys, project work, displays.
  • The Office Staff will not be available to monitor the children or assist with the class.
  • Building rules are still in effect after hours (e.g., no running in the halls, etc). Appropriate classroom behaviors are expected even after school. Please bring any behavior problems to the attention of the instructor and the PTSA.

STUDENT BEHAVIOR

It is the responsibility of the student to have positive behavior through out each class.

  • All students will be held to the same “classroom” behavior standards that apply during the school day, as set forth in the Behavior Handbook.
  • It is our hope that any behavior issues can easily be resolved by parents working in cooperation with instructors.
  • In the event that a behavior issue cannot be satisfactorily resolved, the parent/guardian may be required to withdraw their student from an after school enrichment class, without refund.

SIGN OUT PROCEDURE

  1. For after school classes, parents that have children in Kindergarten-3rd Grade have two options:
    • Children can be signed out by parents immediately following the end of each class. 
    • Children who are enrolled in YMCA after school care can attend YMCA without sign-out.
  2. For after school classes, parents that have children in 4th-5th Grade have three options:
    • Children can be signed out by parents immediately following the end of each class.
    • Children who are enrolled in YMCA after school care can attend YMCA without sign-out.
    • Children can be released from Enrichment Classes without signature. Please see next section titled "Release without Signature" policy for more information.
  3. For after school classes, at the end of the day, all children will be directed to their class by their teacher.  It will be the responsibility of the chaperone to ensure each child arrives safely at class at the end of the school day - or to reach out to the front office/parents to verify an absence. 
  4. For before school classes, all students will be released from class directly to their line ups.  Children in Kindergarten-3rd Grade will be walked to their line ups.  
  5. Please respect the commitments of our instructors and PTSA Chaperones and arrive promptly for pick-up. Two late pick-ups may also result in a required withdrawal from class, without refund.
  6. Children will be released only to parents/guardians. If another adult is responsible for picking up your child, please send a note with your child to give to the class instructor and Parent Chaperone.

STUDENT RELEASE WITHOUT SIGNATURE

  1. Only children in 4th and 5th Grades are eligible to be released from Student Activities without a parent signature. (Children in K-3rd Grades are not eligible for this option and must be signed-out by a parent/guardian or attend pre-arranged YMCA.)
  2. Students in this program will be released after class without a parent/guardian signature. Parent Chaperone will escort kids outside the building and after that no supervision will be provided. The Office Staff will not be available to monitor the children.
  3. All students in this program will be held to the same behavior standards that apply during the school day, as set forth in the Behavior Handbook as they leave the building by themselves.
  4. Parents are required to sign a waiver of liability online during registration and will receive an email confirmation of said waiver. The "Release without signature" option is not valid if a parent does not sign this waiver.
  5. The waiver of liability releases Einstein Elementary PTSA and Einstein Elementary School from all liability relating to injuries and/or property damage that may occur after releasing a student without signature. By signing this waiver, you agree to hold Einstein Elementary PTSA and Einstein Elementary School entirely free from any liability, including financial responsibility for injuries and/or property damage incurred following the end of Enrichment Classes, regardless of whether injuries are caused by negligence. You also acknowledge the risks involved in having your child(ren) released without signature after Student Activities. These include but are not limited to walking home alone and crossing streets without crossing guards. You acknowledge that you and your child(ren) are participating voluntarily and that all risks are clear to you. By signing the waiver agreement you forfeit all rights to bring a suit against Einstein Elementary PTSA and Einstein Elementary School for any reason. In return, your 4th or 5th Grade student will be able to leave at the end of Student Activities without being signed out by a parent/guardian.

REFUND POLICY

Refunds are based on when the cancellation is received. Cancellations received:

  • 2 days or less after last day of registration will receive a full refund.
  • 3 days or more after last day of registration, refunds are done at the discretion of the vendor at the vendors rate.
  • There are no refunds for missed classes. Snow days will be made up, if possible.

CANCELLATIONS

A program may be canceled in its entirety due to lack of enrollment or unforeseen circumstances. In this case, a full refund will be granted to all participants.

PUBLIC HEALTH

All LWSD, King County, WA State, and CDC public health guidelines must be followed.  If a student is too sick for school, they are too sick for after school activities, as well. School medication is not accessible by student activities and PTSA. Chaperones and instructors are not qualified to administer medication.
